Claiming & Verifying Your Site

How fuel site operators claim a site and confirm they operate it — postal PIN, supporting documents, special cases, and staying verified.

Claiming a site gives your company control over its profile, tank charts, and delivery data on TankCharts. This guide explains who can claim a site and how we confirm that you actually operate it.

Who can claim a site

A site is claimed by the operating company of the fuel site — the business that runs day-to-day fuel operations at that physical location. Each site has exactly one operator of record at a time.

There are two roles involved in a claim:

  • Site operator / tenant — the company that operates the fuel site at its address (for example, the dealer or retailer running the station).
  • Fuel-operations management company — a company that manages fuel operations on behalf of one or more sites without being physically located at them.

How verification works

Verification confirms two things: that you operate at the site’s physical address, and which company you represent. There are three steps.

Step 1 — Start your claim

Tell us your company name, your role (site operator/tenant or fuel-operations management company), and select the site you want to claim.

Step 2 — Postal PIN

We mail a one-time code to the site’s physical address. Enter that code to confirm you operate there. Because it travels by mail, this step typically takes a few business days.

Step 3 — Supporting document

Upload one of the following to confirm which company you represent:

  • A current business or retail fuel license showing the site address
  • A UST, dealer, or fuel facility permit
  • A recent utility bill in the business’s name at the site
  • A current lease naming the business as the tenant

Special cases

Fuel-operations / management companies

Management companies aren’t located at the site, so a postal mailer won’t reach them. Instead, a management company is verified one of two ways:

  • They are added by the site operator who has already verified the site, or
  • They submit a service or management agreement for our team to review.

Multi-site operators

If your company operates many sites, you only need to be verified once. After that, your company self-assigns its sites. Running a large portfolio? Contact us at [email protected] for bulk onboarding.

ATG Connex equipment

Leased ATG Connex devices ship only after your site is verified. Verification runs in parallel with order processing, so in practice it typically doesn’t add to your lead time.

Staying verified

Once a year we send an email asking you to confirm your site. Completing that confirmation keeps your site active.

If a new operator takes over a site and completes postal verification, control transfers to them. The prior operator is notified and stepped down. Their access is suspended, not deleted, and they have a window to dispute the change before it becomes final.

How we handle your documents

Documents you upload during verification are stored securely and used only to verify your claim. They are retained for 72 hours and are not used for marketing or shared for unrelated purposes.
